Privacy Notice
Your information, handled with care.
This notice explains how Sigmaserv handles personal information collected through this website and when providing IT support or agreed business-documentation services. Last updated: 20 August 2026.
Who is responsible
Sigmaserv is responsible for the personal information described in this notice. For privacy questions or requests, contact info@sigmaserv.co.za or call 087 188 6675.
Information we collect
When you submit an enquiry, we receive the details you provide: your name, business or household name, email address, phone number and message. A Customer Proof Pack fit-check request also asks for the intended use, desired timing and a short outcome summary. If we agree to provide a service, we may need business, technical, billing, project or approved source information that is relevant to that written scope.
Why we use it
We use this information to respond to enquiries, assess service needs, provide and support agreed services, communicate with you, prepare quotations and invoices, and meet applicable record-keeping obligations. For an agreed Customer Proof Pack, we use only the minimum authorised material needed to prepare the requested assets, check factual claims and obtain client approval. We do not sell personal information.
Optional website analytics
Only if you choose “Accept analytics” do we load Google Analytics. It helps us understand broad website use, such as pages visited, referral sources and device or browser information, so we can improve the site. We do not intentionally send enquiry contents, support-ticket contents or payment information to Google Analytics. You can decline optional analytics, or change your choice at any time using Cookie settings.
Service providers
We use service providers where needed to operate the business, including Afrihost for website hosting, Google Analytics when you opt in, Yoco when you choose to make a payment, and business systems such as a CRM and restricted Google Drive project folders. Where AI-assisted drafting is agreed for a Customer Proof Pack, we minimise the material used, keep human review in the process and do not use the tool as a factual source. Those providers handle information under their own terms and privacy notices.
Storage and protection
We keep information only for as long as reasonably necessary for the purpose it was collected, ongoing service delivery, dispute resolution and legal or accounting obligations. We aim to remove or minimise unsuccessful enquiries after 90 days, review working Customer Proof Pack material 12 months after final delivery, and retain finance records for the period required by law. We use reasonable technical and organisational safeguards, but no online service can guarantee absolute security.
Your choices and rights
You may ask us to update or correct your contact details, ask what personal information we hold about you, object to certain processing or ask for deletion where this is appropriate and lawful. Contact us using the details above. We will consider requests in line with applicable privacy law, including POPIA where it applies.
Updates to this notice
We may update this notice when our services or data practices change. The current version will always be available on this page.
